How to move your gym from Excel or paper registers to software, step by step
22 October 2026 · 5 min read · By FitnessDesk
Many gym owners stay on Excel or a paper register long after it stops working, because switching feels risky. Members, plan dates and pending dues are all in there, and nobody wants to lose them. The good news is that a careful move takes a day or two, not weeks. Here is a plan that works for most gyms.
1. Decide what you actually need to bring over
You do not need every old record. Start with active members and those who expired in the last few months, since they are your renewal opportunities. Older history can stay in your spreadsheet as an archive.
2. Clean your sheet first
- One row per member, with the full name and a working mobile number.
- A single date format for joining and expiry dates.
- Remove duplicates, and merge members who appear twice under different spellings.
- Add the plan name and the amount each member has paid and still owes.
- Fill in missing phone numbers, since reminders depend on them.
3. Set up your plans and staff in the software
Before adding members, create your membership plans with their duration and price, and add your trainers and front-desk staff with the right roles. This lets each member be linked to the correct plan from the start.
4. Add members in a small batch first
Enter 10 to 20 members before doing everyone. Check that names, phone numbers, plan dates and dues look correct. Fixing a small batch is quick, and it shows you any column that needs adjusting.
5. Enter pending dues and expiry dates carefully
These are the figures that affect your money, so double-check them. Compare the total pending dues in the software against your sheet. If the two totals match, you can trust the move.
6. Run both systems side by side for a week
For the first week, keep your old sheet as a backup while your front desk records new joinings, renewals and payments in the software. By the end of the week your team will be faster in the software than on paper, and you will know nothing was missed.
7. Switch on the automation
Once your data is in, switch on renewal and due reminders, QR attendance and the member app. These are the features paper never gave you, and they are where most owners see the payoff in fewer lapsed memberships and less chasing.
