WhatsApp reminders for gym renewals: what to send and when
13 October 2026 · 4 min read · By FitnessDesk
Most gym renewals are not lost to a competitor. They are lost to forgetfulness. A short, friendly WhatsApp message at the right time is the cheapest retention tool a gym has.
The simple schedule
- 7 days before expiry: a heads-up with the plan name and end date.
- On the expiry day: a short reminder with how to renew.
- 3 days after expiry: a gentle follow-up, perhaps with a small incentive.
- 14 days after: a final check-in asking if anything is stopping them.
What a good message looks like
- Use the member's name.
- State the plan and the date clearly.
- Say how to renew, and make it a single step.
- Keep it to two or three lines.
- Sound like a person, not a notice.
Example messages
Before expiry: "Hi Karan, your Quarterly plan at FitDen ends on 28 Nov. Renew at the desk or reply here and we will sort it. See you at the gym!"
After expiry: "Hi Karan, we have missed you this week. Your membership ended on 28 Nov. Renew this week and we will add 3 bonus days. Anything we can help with?"
Respect opt-outs
Always honour a member's request to stop messages, and avoid sending the same reminder repeatedly. Over-messaging damages the relationship you are trying to protect.
Automate it
Sending these by hand does not scale past a few dozen members. FitnessDesk can send renewal, due-payment and birthday messages automatically over WhatsApp, with each reminder sent once and every send logged, so nothing slips through.
